Facilities Use Guideline

Adopted May 13, 2009

The facilities of Oakdale Baptist Church are designed for use in conjunction with our purpose statement, which is as follows:
 
“We exist to…
            Exalt the Lord Jesus Christ
            Encourage Spiritual Maturity
            Express the Love of Christ
 
Oakdale Baptist Church is willing to open the doors of this church to individuals who are working to improve the quality of life of our community and who have a plan and desire to reach our neighbors for Christ.  Due to the numerous requests for facility and equipment usage, some guidelines are necessary to accommodate most requests and fulfill our purpose for existing as a church.  We strongly encourage each reservation of the facility and equipment not only be used for personal reasons, but also be used in a form of Exaltation (Worship), Edification (Spiritual Development), or Evangelism (Spreading the Gospel).
 
1.       General guidelines
 
The Church facilities are available to church members for their personal use or for the use of their families.  Family constitutes member, spouse, and children. All use must be in compliance with guidelines.  Use of the facility by non-members/groups will be at the discretion of Pastors and/or Deacon Chair.
   
ALL arrangements for the use of the facility and equipment must be made through the church office by filling out a “Request for Use” form.  A copy of these guidelines will be given to the person making the arrangements for the event.  Exceptions are regularly scheduled services.
 
Members may make request up to nine months in advance.  The church administrator and/or Pastors must approve all requests in accordance with the church calendar.  Certain request may be taken to the active Deacon Board for approval, as they deem necessary.  Except for weddings, in the event of conflict, OBC groups will take precedence over the use of the facility.
 
Each group or event MUST have at least one adult (21 or older) present at all times.
 
Groups will be restricted to the use of the area they have reserved.
 
Alcoholic beverages and dancing (secular) are not permitted on church property.  Interpretive movement in the form or atmosphere of worship may be permitted during praise, worship, and drama events.  Use of tobacco products is encouraged to be done in personal vehicles only.
 
Food and/or drinks shall not be permitted in the sanctuary with the exception of communion items. 
 
Christian discipline and attire should be practiced by everyone while on the church property.  Parents and/or sponsors of events must monitor and encourage proper discipline of children and/or participants while on the church property.
 
All music must be in keeping with the church’s philosophy of honoring Christ.   The group must also make arrangements with the Lead audio/visual ministry team member to have someone operate the needed equipment.
        
There shall be no unauthorized pinning, taping, gluing, screwing, stapling, or wiring of items on walls, doors, furniture, etc.
 
A review will be conducted to determine if there is any damage to the facility and equipment and to make sure they have been cleaned per guidelines. If any problems or
concerns arise from the review, the responsible person or the event will be contacted. Deposits will be refunded if the church property/equipment has not been damaged and is cleaned according to these guidelines. 
 
A key must be obtained from the church office.  The key must be returned to church office the first business day after the event.
 
Upon leaving the building all doors must be locked, all lights turned off, and thermostat returned to programmed settings.
 
Fees and deposits are listed on the forms.   Deposits are to be paid to the church office at the time of reservations. All other fees are due 30 days prior to event date.  For reservations made within 30 days, deposit and fees are due at time of reservation.   

Guidelines for Oakdale Baptist Church - Family Life Center

 
1.  Use of the family life center shall be reserved through the office by completing a request for facilities form. This reservation does not include use of the kitchen and fellowship hall or any other part of the facility unless specified on the form at time of reservation.  Use of the family life center for events other than church sponsored events shall be at the discretion of the Pastors/Deacons.  The guidelines in place shall be followed and the proper fee paid in advance for use.
 
2.   Oakdale Baptist Church Family Life Center is an extension of the church. Therefore appropriate 
      Christian behavior and dress will be expected at all times.
 
3.  Only members of Oakdale Baptist Church, its sponsored organizations (such as Sunday school, etc.) and their guest are eligible to use the FLC. This is an attempt to eliminate over crowding of the facility.
 
4.  Anyone bringing guest will be responsible for the behavior and actions of the guest.
 
5.  The FLC will not be open during Church Worship services, except when it is a church sponsored activity. 
 
6.  No smoking will be allowed anywhere inside the Family Life Center.
 
7.  No Loitering will be allowed in the parking lot.
 
8.  All groups and families using the FLC will be responsible for immediate clean up after usage. The gym floor must be cleaned after each use.  It will be necessary for any equipment that has been rearranged, to be returned to the proper arrangement before leaving the facility.  Following use of the gym any trash or any items brought by the user shall be removed by them as they leave the facility and lights turned off and the building secured.   If the custodian is required for cleanup after usage the refundable deposit will not be refunded. 
 
9.  No group will be allowed to monopolize the FLC.
 
10. In the event of a conflict, Oakdale Baptist Church groups will take precedence over free or open     play.
 
11. All classrooms in the FLC will be closed to everyone using the facility. The balcony is not to be used as a play area, especially for children.
 
12.  Do not throw balls or other objects against the walls or ceiling. * (No playing with football, softball or baseball allowed in FLC.)

Guidelines for Oakdale Baptist Church Fellowship Hall/Kitchen

1.      The use of the fellowship hall and kitchen requires reservations through the office and a “request for facilities” form completed.  This does not include use of the family life center unless specified.  Due to the expenses of utilities, i.e. water, electricity gas, and use of equipment, a fee will apply to any activity that is not a church sponsored event, with the exception of funerals and weddings for church members. 
 
2.       It will be necessary for any equipment that has been rearranged to be returned to the proper arrangement before leaving the facility.
 
3.      Tables, chairs and the tablecloths may be used at the church facility only and not borrowed to be used elsewhere.  The only tables which may be used outside
the facility, are stored in the storage building outside and can be accessed through filling out a form in the office.  Tablecloths may be reserved for use by completing a form.  A wedding committee member will give directions for care of the cloths.  The user shall furnish any dishcloths required for cleanup.  If the custodian is required for cleanup following usage the refundable deposit will not be refunded.
